ARDEM Data Entry Services successfully completes Marine Data

ARDEM is pleased to announce a successful completion of the data entry of Marine Fishery data logs for a government research organization.  Under very tight project deadlines ARDEM undertook the task of database development and data entry from computer printouts of marine data.

Historical data needed for the research was located in numerous binders. Each binder contained computer printout run- sheets containing arrays of data. Both the size and font of machine typed data made use of OCR impractical. Accuracy of final data set had to be higher than what could be achieved with OCR. Manual data entry was the only acceptable solution. Further all data needed to be double keyed to assure 100% accuracy.

Database programming was required to generate the data sets in in the report format that could be utilized by the researchers. The data strings in addition to being keyed had to be parsed based on prescribed field lengths. Further some data fields were to be cleansed from the data set while others were to be repeated based data validation rules defined. 

Data Entry solutions for large data sets very often require not only the keying of 100% accurate data but also the programming and creation of complex databases. This database needs to be 100% correct and capable of generating useful data reports required by researchers to allow them to quickly locate the relevant data sets.  While information which is machine typed in well laid out structured forms (Same information in same location) lends itself to optical character recognition (OCR) where data capture software can be utilized to capture the information from the incoming paper, many times the available font and size makes data key entry the only acceptable solution for transcribing data.

ARDEM solutions for data entry utilize both scanning of the paper as well as keying of the data from the paper. In addition to offering better document control scanning allows for greater efficiency when keying the data as well as allows for better downstream audit and quality control of keyed data.

            The need for manual data entry. At this point in the game there are so many technologies, software programs and automated ways to identify, select and extract data from mediums, it may seem as though manual data entry is a lost art. However, in order to continually provide the highest quality service, some sort of manual data entry must always been an aspect of the operation.  

            All automated processes, such as OCR, ICR, OMR technologies are not perfect. As we all know, client will not settle for less than perfect. So by only relying on the technologies you might be cutting costs but are you cutting quality as well. With that being said, the source documents and project specific requirements place a HUGE role in the process which can be implemented. ARDEM recently came across a project, which at first, seemed like it was a slam dunk, a home run, a cash cow but in reality the management team had to rethink their entire process and go with a completely manual operation. The source documents were so poor that even scanning to increase productivity was out of the question. But, thankfully, the project was able to take off and production started and continued as it would on any other project which can be supplemented with technologies.

              LargeFormat Scanning, seems like any other scanning just bigger, right? … I wish. Let’s just say, one cannot comment of the effort it takes to produce a high quality scan of a document that is 42” x 96” until they have tried it. Being one, who has tried it, let me weigh in. If you don’t have to try it, don’t. Seriously, don’t try it; unless you enjoy re-scanning and re-scanning and re-scanning and getting frustrated. Leave it to the experts who do this kind of work for their livelihood. Honestly, even if the document is slightly oversized – say 24” x 24” – just find a company who can do this work for you and get on with your project; especially since most large format scanners are in the tens of thousands of dollars range. Now it might be worth buying a scanner and doing the work yourself if you have tens of thousands of drawings to scan; but most companies just need batches of drawings converted intermittently. This situation usually winds up being easier and more cost efficient to find a company which will take the extra time and devote the extra effort needed to create a high quality digital reproductions of the oversized documents you have. Take companies that create signs / posters / banners etc. they may only need a couple of document scanned per year; but when they need it done, they need it done right.

When Starting a Data Entry Project Keep the Following in Mind

Surveys, Surveys, Surveys… I know we have been over them before; but I enjoy them so much, we are going to discuss them again. Paper-based surveys are one of the original methods used to obtain the pulse of the crowd, and I am confident this methodology is here to stay. “How can that be? Everything is going digital, social media is the way of the future; iPads and Tablets will take over….” seems to be a common feeling expressed among the masses. I agree and disagree. Yes, polling is going digital / mobile. There are more online / email & telephone / cellphone surveys than ever before and someone will finally figure out how to effectively survey the masses over social media. But… a paper-based survey will only then get stronger, when used properly. As direct mail marketing dwindles and more and more people are asked pointless questions via phone, email, online pop-ups and Facebook; a paper-based survey will only stick out and raise the question “why is this so important that it deserves to be printed?” That is the question which will allow paper-based surveys to leverage its advantages of: hard to reach audiences, people with an in-depth interest into the topic and lengthier more in-depth questions. I can see a day when receiving something in the mailbox, especially a well-crafted and eye catching envelope, immediately grabs the attention of the recipient and forces them to at least open the envelope which is half the battle; this vision is reinforced by the fact that paper-surveys will be seen as a diamond in the rough, uniquely important and worth the time of the recipient.

            There are more angles and ways that paper-based surveys will become the “best” method for obtaining the pulse of the crowd.
