ARDEM Helps Companies Create an 'Electronic Filing Cabinet'

A paper trail might be good on Election Day, but for the other 364 days of the year, the problem is not too little, but too much paper — in our offices, personal filing cabinets and mailboxes.
   With so many company stockrooms overflowing with paper invoices and client records, Montgomery resident Arun Malhotra decided to found Ardem, a company that provides document scanning, indexing and retrieval services for a wide array of industries, with a particular focus on the medical, legal and architectural industries.
   "We help our clients create a paperless work flow," said Mr. Malhotra, who moved to the United States from New Delhi, India, 25 years ago and earned an MBA. He later worked in an operational management role for a large international manufacturing company.
   With high-speed scanners, Web servers and access to transcriptionists working from in Mr. Malhotra's native country, Ardem helps businesses set up an "electronic filing cabinet." Much of the demand for transcription and document conversion is coming from the medical industry — hospitals and doctors' offices that are making patient health records electronic — but Mr. Malhotra also notes strong demand from law firms and architectural firms.
   "You look at the medical industry — the drive is primarily for the insistence to make medical records electronic," he said. "Then there's the legal industry. The lawyers have boxes and boxes of paper they have to deal with."
   Ardem does more than just turn paper and ink into binary code; it also creates "smart documents" — documents that are organized, indexed and quickly accessible with a few search words.
   "It's more than just scanning," says Mr. Malhotra. "If you just scan a piece of paper, you get million of files — it's not the end objective. You have to be able to make those files intelligent. That's where the combination of software and labor comes into the picture.
   "Let's say I'm a diabetic patient and I have certain medical requirements that the doctor needs to search on," he continued. "So when you make a file for 'Arun Malhotra' put it in under 'diabetic.'"
   Mr. Malhotra says Ardem provides a more cost-effective solution to digitize workflow than in-house resources because of Ardem's high-speed scanners. Digitizing an architectural drawing in-house, for example, costs about $12 in labor and resources, versus Ardem's $3, he said.
   The global document management market generated $3 billion in revenue in 2003 and is expected to grow 9 percent a year or more, to more than $4.5 billion by 2008, according to research firm IDC in Framingham, Mass.
   When you consider other statistics — like the fact that approximately 35 percent of workers' time is wasted searching for documents and over 10 percent of documents get lost or misfiled — Mr. Malhotra says "it becomes clear why this is a tool that businesses are increasingly relying upon to improve their productivity."

Happy Friday! Document Scanning of Case Files for US

ARDEM successfully completed the scanning of 6 million pages of Case Files for the US under its GSA Schedule 36 contract for Document Conversion Services. The scope of the job entailed the scanning of six million pages in six months. To achieve this pickup of 250,000 pages, or about 120 boxes was done by ARDEM every week at client site in Virginia. Boxes were transported back to ARDEM’s secure facility located in New Jersey. A strict chain of custody of all documents was maintained. Each page and each case file in each box was tracked and auditable processes were established to scan and index each page. Scan work flow processes were set up to track every case file through receipt, document preparation, scanning, and post preparation. The integrity of each page in each file of each box was maintained throughout the process. A final inspection and inventory done by the client during each drop off validated 100% accuracy of ARDEM scanning process. ARDEM scan production against the case file scanning project was at 60,000 images per day. The documents which were scanned included various sizes of paper, 8 ½ x 11”, photographs (color/black & white), Mixed Media (Compact discs, Large Format Maps), receipts, etc. Each image was indexed post-scanning. Scan images and index were checked to assure 100% accuracy of scanning.

ARDEM Scans On-Site at Large Investment Bank

– Ask any CIO, COO or VP of a financial institution what their biggest concern is, when it comes to the records retained by the company; the answer most likely will be security and confidentiality. This is because the financial industry is among the most regulated and government controlled industries. What does this mean for financial institutions? Company records can never leave the premises even when the information is needed else wear.

This becomes a problem when independent appraisal companies, lawyers, mergers, acquisitions and audits come into play. The records are needed by multiple people in multiple locations and only one hardcopy of the record exists, which can’t leave the financial institution. Considering a loan document or file of a client contains on average 5000 images this translates into 27plus hours to make one copy of one file. This isn’t considering prepping the pages for copying or post prepping them after the copying is done.
Photocopying these necessary images is not cost productive, especially when you factor in the lost opportunity cost of this experience individual. The solution to this problem is utilizing a document scanning company that can be on-site and scan all necessary material. The advantages with using a scanning company is that 2 operators from the company can doc prep, scan and post prep approximately 15 – 18000 images a day for the same cost of paying an experienced individual to photocopy 5000 images. This translates into a huge savings a large increase in quality and efficiency, not to mention sanity.

Summer is Nearing an End, which means it is Almost Budget Season Again for School Districts

Summer always flies by quicker than anticipated.
Kids are not looking forward to being back in school, and truthfully many of the teachers and staff feel the same way.
The guidance office is especially busy at the beginnings and endings of each school year, often times just with responding to Transcript request forms, never mind all of their other duties.
This unlucky bunch is usually stuck with the task of digging through mounds of student files trying to find the correct transcript which needs to be mailed to the right school.
What a NIGHTMARE.
ARDEM Inc. has implemented a system which eases this process for the guidance departments at these high schools.

"It is a process. Many schools have years and years of records in which they are required to keep for a certain amount of time after graduation. These files usually end up in an old football storage trailer or musty closet. It becomes quite a pain when someone calls on the information which is buried somewhere in the back of that trailer, and unfortunately, this happens quite often. Our model works so School districts can tackle this problem slowly, maybe a year or two at a time, making it possible to fit into almost any budget. We takes the files, scan them, and then create a database which is installed on however many computers the district sees fit. We then implement our search program ARDEM QuickFind which allows the user to search for Transcripts in a number of different ways, whether it be by Graduation Year, first name, last name, male, female, you name. We are currently working this process into numerous schools around the NJ area, and the feedback we have been getting is just amazing. Teachers and Guidance departments alike; absolutely thrilled at how much easier their jobs have gotten. We hope to be able to continue implementing this service around the Tri State area."
