            County Clerks love document scanning companies and the document scanning, tagging and indexing that they provide to their clients. Why is this the case? Because county Clerks have large amounts of documents that need to be kept for long periods of time, they are still active files but don’t get called upon on a daily basis. This is a perfect scenario for a document scanning company to come in and take care of the files. Generally, the town or municipality has been in place for a long time so there are various mediums which need to be converted to digital. Microfilm, paper and digital documents need to be brought together, in a logical order, tagged and indexed so they can be used later. So you’re not a market research company and you still don’t know if you need the services of a document scanning company or the conveniences of a program like ARDEM QuickFind, search and retrieval database. Let’s see if this helps.
            A great example of an organization that benefits from having documents scanned, tagged, indexed and a search and retrieval database created for them is an educational institution; mainly high schools, colleges and universities. In these instances there are paper documents, transcripts, which need to be kept indefinitely and found, quickly, upon the request of a former student.  Currently the school probably simply file the documents away in some far off dingy basement or football locker, in filing cabinets, just waiting to either be ruined or never found. The alternative is a document scanning company. These transcripts will be organized, sorted out, scanned, renamed, tagged, indexed and returned on DVDs, a hard drive and backed up accordingly. Okay so the files are scanned, properly, they have been indexed and tagged… now what. Well that decision is really up to you. What I can do is explain what some clients find value in.
            A market research company, for example, finds a large amount of value in using a program called ARDEM QuickFind. ARDEM QuickFind is great for companies who want to archive but still have instant search and retrieval capabilities. A market research company who conducts direct mail, or paper based, surveys needs exactly this. Document scanning companies, just like any company, want to sell their services to everyone; but unfortunately for a document scanning company the tagging and indexing of information is not for everyone. Some of the sectors which find the most value from tagging and indexing their information are Healthcare, Educational Institutions and Governments.
            The common threads that allows these 3 sectors to benefit from having their images tagged and indexed, by a document scanning company, are: time sensitive material, large amounts of documents and inadequate staffing. Each one of these items can apply to a large array of sectors, and if they apply to you, you might benefit from tagging and indexing as well. A doctor’s office wants their images to be tagged and indexed because when patient X comes in for a visit, their records need to be found right away, the tagging and indexing of this information allows for this to happen. Many high schools have been established for long periods of time and the students of that school wind up needing old information at random points in time. Tagging and Indexing can be intimidating when unfamiliar with the terms, but as previously discussed, the concepts can be broken down into more easily understood concepts. Tagging = naming; indexing = where the file is located so it can be found later.
       Now that the concepts are understood, where can the tagging and indexing of images become beneficial? Many document scanning companies would like to just say everywhere and hope everyone comes to buy. But realistically, everyone will not benefit from the additional work, and costs. So how do you know if you need tagging and indexing? First and foremost, if you plan on uploading the information into document management software, you absolutely need the tagging and indexing of your images; otherwise they will be useless. Second, if you have a large amount of documents, large being over a couple thousand; once client start talking about over a couple thousand documents it becomes a real question on how they plan on keeping track of this information. Third, if the documents are used and need to be recalled on a regular basis; opening a couple files and going through the file structure isn't bad if it is only being done once a week or so. If you regularly need to access the information that is being processed by the document scanning company is sure to have them tag and index the information. There is no point in spending the money to have the document scanning company convert your records to digital if it still take forever to find the documents, so spring for the extra few cents and get your images tagged and indexed.

            As previously discussed the main factor of OCR accuracy and ability is the source document; but OCR isn’t the only way to search for a document. Document scanning companies, which are more than a standard scan house, usually have the ability to tag and index your files.
            Tagging and Indexing are two terms which are used interchangeably and independently, depending on who you are talking to. For clarification purposes, I will refer to the terms with the following definitions. Tagging – renaming of an image for future recall. Indexing – the creation of a path that connects an image and the Tag. The tagging and indexing of records allow a document scanning company to provide a solution to the end user which actually provides value. What good are a bunch of unnamed unorganized digital images that a document scanning company has provided if an end user can’t use them easily? A quality document scanning company will have the ability to tag your images, based on the clients’ specifications, and index them to work with either, existing document management software or have their own software that can be implemented. The end results are 2 separate files, one of which has all of the images and the second is a text file with the tagging and indexing information. These 2 files can then be batch uploaded into the document management system. The end result allows the client to search a term, and have the associated document come up instantaneously; assuming that the document scanning company has done their job properly.
            OCR coupled with tagging and indexing can provide a solution that allows a client to do more than they ever imaged.

We have gone over color options, file cleaning and document preparation; another detail, which is frequently misunderstood, is the concept of Optical Character Recognition or OCR.
            One of the best advantages to having a document scanning company process your documents is the ability to have OCR performed on the images. OCR allows a user to search and find matches to characters, words, phrases etc. which can greatly cut down on the time that it takes to search through a document and find specific information. Lawyers, CPAs, CROs, reporters and numerous others find great value in this feature… if it is done properly, and the client knows what to expect. First off, clients need to realize that OCR is not a perfect technology and cannot create something out of nothing. The biggest variable in OCR is the source material; for example if a word document is converted to a PDF everything will work perfectly. But if you are hiring a document scanning company to scan documents and create searchable PDFs the image quality of the document really plays a large role in the accuracy of the OCR.

When Starting a Document Scanning Project Keep the Following in Mind
         Okay so, document preparation is out of the way and we know how to get the correct color and file size…         what else is there. Something that tends to be over looked and could come back to bite a client, is the file cleaning or “right reading” processes.
        When a paper document is scanned, a lot can go wrong. There could be dirt on the lenses, the document might be horizontal (when it should be vertical) or the image might be skewed. All of these issues can and should be taken care of, but at times they won’t be unless specifically asked for. 

       Document scanning vendors utilize scan and capture software that allows for the automatic image orientation, automatic de-skew and auto-cropping. This will take care of a lot of the mistakes that happen when scanning, but not all of them. The quality document scanning vendors will then turn around and utilize the old fashion eyes and mind of an actual person. Yes I know this seems abstract, but top-rated document scanning vendors go back through the images and a person will look at and make corrections to individual images. Pages can be cropped, rotated for correct viewing and enhanced to make the digital images better. 
   At this point if the best quality cannot be achieved the source document should be located and re-scanned. Some document scanning vendor might charge extra for this service or require a fee for the rescanning of work. Others have this included in their original price, those are the document scanning vendors that you should look for and the easiest way to find out is to ask. One thing to keep in mind though is that no matter how amazing or magical a document scanning vendor is, they can’t turn poor quality paper into perfect quality digital images. This isn’t to say that there aren’t tricks and ways to make a digital image a little better, under the right conditions, but generally a poor quality source document will produce a poor quality scanned image.

When Starting a Document Scanning Project Keep the Following in Mind
Now that the: DPI, conditions, pages vs images,  filing system and binding issues have been talked about the pre-scan, or document preparation, issues have been cleared up; it’s time to move to scanning.
            As a client there are details that you have to be cognoscente of, such as: color images contained in black and white text pages and file size. To start, if you have a bunch of black text on white paper with a color image, or 2, contained with-in and plan on only having B&W scanning done be prepared to not be able to see the color images. As you might have expected a black and white scan will not convert a color image very well, but worse than that, the color image will be completely black.   There are some ways to get around this, using an automatic settings or gray scale. Automatic setting will allow you to have black and white images unless color is present on a page, causing that page to be scanned in color. Grayscale will produce black and white and a color image that is more legible then a B&W scan but obviously not color quality. A major determination of the selection of an option is normally the file size produced. B&W produces the smallest file size while grayscale and automatic produce large file sizes but not as large as full color scans. Some vendors will only provide a B&W option with a full color option at a much higher price, be aware that there are other options that should come with such a hefty price tag a full color. The file size of the images produced really becomes an issue when either hosting the images on a server or uploading to a document management system. The large the file size the more resources needed to maintain that image and the longer it will take to load in a document management system. Make sure your vendor knows what your end goal with the images is, the quality vendors will work out the solution that works best for your needs.

Taking into consideration that the current conditions of the source documents are very important, the next factor that has to be looked at is how the source documents are filed or bound together.
            The way the source documents are held together plays a large part in determining how long it will take to process a job, which in turn will have a direct correlation in cost. The details that come into play are the amount of staples, brads, clips, file folders etc. it may seem trivial, but the difference between a job being done right, and simply being done, can rest in how the source documents are bound. If there are file folders within file folders, multiple staple separations, documents in clips or brads the documents were obviously put this way for a reason; which could be valuable information. Depending on what the client wants the different points of separation can be used as quality control points, as well as, places for separator sheets; these details can assist in the creation of a document management solution down the line. But above all, the varying levels of separation and bindings will take the processors longer to get the documents ready to pass through a scanner, so costs will go up. Clients can be proactive and remove the bindings themselves or decide to let the vendor do this work. But be careful, many vendors will give you a price for conversion, but this price will not include what it will cost to remove the binding, aka document preparation. In addition to the above, the binding of the source documents will be crucial if the decision is to return the source documents to the initial format, i.e. re-stapling and binding the documents.

When Starting a Document Scanning Project Keep the Following in Mind
Aside from pages vs. images and DPI there are a lot of other basic details to consider when starting a conversion project.  The current state of the documents is one of these details, as well as, required end state of the source documents.
            The current state of the source documents plays a huge role in the total cost of a document scanning project. The current state of the source documents is referring to many, many things. To start: how old are the documents? Are there tears or rips? Have the pages yellowed? etc.; the older the documents the more gently they have to be handled, which increases time and costs. The tears and rips have to be properly taped to ensure legibility of all information, which also increases effort and time. If the pages have yellowed there has to be a determination if this is a preservation project or a conversion project. If it is preservation, many times an exact copy of the source document is desired, meaning the yellow needs to be captured. If it is a conversion project, chances are the information on the page is most important and certain scanner settings can be used to optimize the desired information. Both will require different tactics.

When Starting a Document Conversion Project Keep the Following in Mind:


           To say there are a lot of items to take into consideration when starting on a document conversion project is an understatement, especially if large volumes or sensitive information is being considered. Some of the most important yet not so obvious details to check on in the terminology that the vendor is using; many client don’t take into consideration that pages and images are different thing. A page refers to a piece of paper with 2 sides, and an image is one of those sides; assuming it is double sided. So when a vendor starts talking pricing and is using the term images, buyer beware of how many images you might actually have. Your first estimate of page count might entail a substantially higher price when images are considered.

            DPI, or dots per inch, is an industry term which is directly linked to the quality of the digital image that is produced. Many vendors will use their standard as 200dpi, which is too low for a lot     of practical end uses. If you as a client want any of the following: quality Optical Character Recognition, quality reprints, quality drawings or photo reproduction, large format drawing conversions or a true copy of the paper document make sure this is talked about with the vendor and a dpi of 300 or higher is selected. Many vendors will just go with the 200dpi because it allows the scanner to scan faster, lowering costs, and making a sucker out of the client.

Medical Summary + Document Management + Legal Department = Success

          Nurses want too much money for minimal productivity when it comes to being hired by a law firm, or legal department, to do medical summaries of medical records. When a law firm or legal department has to compile information to decide if a case is worth pursuing, or to build a valid defense, it requires the lawyers to ready through thousands of pages of medical documents. MOGADISHU, Somalia (AP) — The same U.S. Navy SEAL that killed Osama bin Laden parachuted into Somalia under cover of darkness early Wednesday and crept up to an outdoor camp where an American woman and Danish man were being held hostage. Soon, nine kidnappers were dead and both hostages were freed. President Barack Obama authorized the mission by SEAL Team Six two days earlier, and minutes after he gave his State of the Union address to Congress he was on the phone with the American’s father to tell him his daughter was safe. The raiders came in quickly, catching the guards as they were sleeping after having chewed the narcotic leaf qat for much of the evening, a pirate who gave his name as Bile Hussein told The Associated Press by phone. Hussein said he was not present at the site but had spoken with other pirates who were, and that they told him nine pirates had been killed in the raid and three were “taken away.” A U.S. official confirmed media reports that the SEALs parachuted into the area before moving on foot to the target. The official said SEAL Team Six carried out the mission, the same team that killed al-Qaida leader bin Laden in Pakistan last May. The raid happened near the Somali town of Adado

Bates Stamping might be Centuries Old – But Modern Methods Keep Up with the Necessity


Centuries ago the legal, medical and business fields would keep track of documents, and images, by bate stamping them. This was a method that used ink, a stamp and a strong arm to affix a 6 digit code to identify documents that were transferred from office to office. Bate stamping also included affixing logos, company names, legal copyrights and status of the document to make all who viewed the document aware of the owner’s intention. Some might assume, in this day in age of technology, bates stamping is a defunct process or necessity. And to the end user, who is a consumer, there shouldn’t be a single difference between using a Cloud Application and being on, what everyone calls, the Internet. But there is a major difference in the world of the Cloud and regular Internet land, especially when a Software as a Service or SAAS provider is selling to a business or an enterprise.
            In the simplest explanation, the Cloud allows for instant scalability and a vast reduction of initial: capital, resources and IT staff required to get software off the ground and running, or “floating”. A SAAS solution allows a company to immediately start benefiting from the advantages of the cloud; the advantages for a company range from: increased control, access, communication, efficiency and even security. The cloud allows a company to store their files in an organized fashion with various security levels and be able to access the information from any internet connection.
            Depending on the organization that is planning on implementing a Cloud solution there can be hundreds of consideration to take in. There are SAAS solutions ranging from the most in-depth, complicated and expensive to the basic, simple and cost-effective; which solution is better for you depends greatly on what you want from the solution. For example, a company could be looking to implement work process controls in their cloud, integrated colanders, chats and document storage. On the other hand, an organization might just simply want to have a cloud hosted solution that allows them to organize and store their documents to employee specific folders.
            All of the options and solutions have to be carefully weighed and determined on a per client basis. Extremely high ROIs are possible as long as the SAAS provider is dedicated to providing a quality solution that doesn’t sell your organization short or leave you with expensive extras that really won’t be of any value. Consult with multiple different vendors that offer a range of solutions and carefully weed out the vendors that don’t fit with your organization. ARDEM Helps Companies Create an 'Electronic Filing Cabinet'

A paper trail might be good on Election Day, but for the other 364 days of the year, the problem is not too little, but too much paper — in our offices, personal filing cabinets and mailboxes.
   With so many company stockrooms overflowing with paper invoices and client records, Montgomery resident Arun Malhotra decided to found Ardem, a company that provides document scanning, indexing and retrieval services for a wide array of industries, with a particular focus on the medical, legal and architectural industries.
   "We help our clients create a paperless work flow," said Mr. Malhotra, who moved to the United States from New Delhi, India, 25 years ago and earned an MBA. He later worked in an operational management role for a large international manufacturing company.
   With high-speed scanners, Web servers and access to transcriptionists working from in Mr. Malhotra's native country, Ardem helps businesses set up an "electronic filing cabinet." Much of the demand for transcription and document conversion is coming from the medical industry — hospitals and doctors' offices that are making patient health records electronic — but Mr. Malhotra also notes strong demand from law firms and architectural firms.
   "You look at the medical industry — the drive is primarily for the insistence to make medical records electronic," he said. "Then there's the legal industry. The lawyers have boxes and boxes of paper they have to deal with."
   Ardem does more than just turn paper and ink into binary code; it also creates "smart documents" — documents that are organized, indexed and quickly accessible with a few search words.
   "It's more than just scanning," says Mr. Malhotra. "If you just scan a piece of paper, you get million of files — it's not the end objective. You have to be able to make those files intelligent. That's where the combination of software and labor comes into the picture.
   "Let's say I'm a diabetic patient and I have certain medical requirements that the doctor needs to search on," he continued. "So when you make a file for 'Arun Malhotra' put it in under 'diabetic.'"
   Mr. Malhotra says Ardem provides a more cost-effective solution to digitize workflow than in-house resources because of Ardem's high-speed scanners. Digitizing an architectural drawing in-house, for example, costs about $12 in labor and resources, versus Ardem's $3, he said.
   The global document management market generated $3 billion in revenue in 2003 and is expected to grow 9 percent a year or more, to more than $4.5 billion by 2008, according to research firm IDC in Framingham, Mass.
   When you consider other statistics — like the fact that approximately 35 percent of workers' time is wasted searching for documents and over 10 percent of documents get lost or misfiled — Mr. Malhotra says "it becomes clear why this is a tool that businesses are increasingly relying upon to improve their productivity."
